A Small-Office Moving Checklist for Houston Businesses

A small-office move is ready when your team can enter the space, take a client call, open its working files and receive a visitor. Getting the furniture through the door is only one part of that. Plan the move around those four tests, then put names and dates beside the tasks that make them possible.

This checklist is for a small Houston practice or professional-services team moving into a private office. It assumes you have selected a space. If you are still comparing locations, start with our office-tour checklist. The timetable below is a planning example, not a promise that every suite or provider can be ready within four weeks.

Before Booking Movers: Confirm When the Suite Is Yours to Use

Separate the lease start date, key handover and permitted move-in time. They may coincide, but your moving company needs the actual access window. Ask management who will open the building, where the truck may unload and which entrance to use. Check any requirements for insurance documentation, protection of common areas and removal of packing materials.

Walk the delivery route with measurements for the largest desk, cabinet or conference table. Include door openings and turns, not just the room dimensions. Agree on a simple floor plan before the truck arrives, and label furniture by destination. For a furnished suite, get an inventory of what stays so you do not pay to move a desk you will not use.

Three to Four Weeks Before: Assign the Work That Has Dependencies

Give one person responsibility for the overall move, even if different people handle technology, furniture and client communications. Keep a shared list with five fields: task, owner, due date, dependency and confirmation. A row saying “internet ordered” is incomplete until someone has confirmed the activation or access date.

  • Technology: confirm what internet service is included, how your devices connect and whether any installation is required. Ask your phone provider how to keep your existing number and handle calls during the move.
  • Workstations: count monitors, power adapters, docks and chairs. Pack a labeled kit for each person rather than one communal box of cables.
  • Records: decide who transports sensitive files and devices. Keep an inventory and identify the person receiving them at the destination.
  • Appointments: block the moving period on shared calendars. Decide whether essential meetings will be remote or held at the old office while it remains available.

If the dates do not line up, adjust the plan before committing to a truck. A short period of overlapping access can help, but check the actual cost and terms with both locations. Do not assume a weekend move automatically means the internet provider or building support staff will be available.

One to Two Weeks Before: Help People Find You

Create one approved version of the new address, including the suite number confirmed by management. Use it consistently on your website, appointment messages, invoices, email signatures, delivery accounts and business listings. Schedule public changes for when the business actually operates at the new location; avoid telling a client to arrive before you have access.

Arrange business mail forwarding using the official USPS change-of-address guidance, and separately update important senders. Forwarding is a useful bridge, not a substitute for correcting account records. Confirm how mail and packages are received at the new building and whether the business name must appear on a directory or mailbox.

Give scheduled visitors a short arrival message: the effective date, address, parking instructions, entrance and a number to call if they cannot find you. For a Washington Avenue location, a clear entrance description is more useful than assuming everyone recognizes the building from its street address.

Before the First Working Day: Test a Real Appointment

Bring the laptop, headset and phone you normally use. Connect from the desk where you will work, open your usual applications and make an external call. Test printing or scanning if either is part of your workflow. Our office internet checklist covers the questions a quick speed test cannot answer.

Then walk the visitor route yourself. Start at the intended parking area, use the entrance described in your email and reach the room where the appointment will happen. Confirm how a visitor gets help if a door is locked. Check your video-call background and lighting from the actual chair position, not from the doorway.

Move Day and the First Week

Keep the essentials with you: access instructions, contacts, laptop, chargers, the appointment calendar and any records needed that day. Photograph the suite condition and furniture inventory at handover. Have one person direct deliveries while another checks that the basic workstation is usable.

Before calling the move complete, confirm these five things:

  1. Every team member has working access and knows the entry procedure.
  2. The main phone number reaches the right person or voicemail.
  3. Working files and essential applications are available.
  4. Clients see the correct address and arrival instructions.
  5. Management has received a written list of any unresolved items.

At the end of the first week, review missed deliveries, client questions and equipment problems. Update the instructions once, then use that corrected version for future appointments. Keep proof of the old office handover and any returned keys with your move records.
